Rubiwin’s carrier collaboration involved thousands of carriers from various countries. Prior to the introduction of the new document management system, onboarding a carrier took about a week, largely due to the cumbersome process of document collection and verification. This manual process was managed using an old TMS tool and email communication. The primary challenge was the extensive back-and-forth communication required to obtain all necessary documentation from carriers. The aim was to streamline this process, make carriers more autonomous in their document submissions, and prevent the hiring of additional personnel for this task.
Role
As the Product Owner, I was at the forefront of this transformative project, ensuring it met both business and user needs.
I interfaced with developers, designers, and other stakeholders, governing the project’s progress through Agile principles.
Collaborated closely with a UX specialist to create an intuitive interface tailored for our carriers, allowing them to upload, view, and manage their documents.
Oversaw the development of features that allowed carriers to autonomously upload/take pictures of documents, set expiration dates, and monitor the status of their submissions.
Also ensured the creation of a back-office tool for our operators to easily validate, reject (with reasons), or configure document types based on country requirements.
Results
The introduction of the new system drastically reduced carrier onboarding time from one week to just one day, provided all documents were readily available.
It led to improved relationships with carriers, who appreciated the more streamlined and user-friendly process.
Rubiwin experienced savings equivalent to 2 to 3 Full-Time Employees, reaffirming the project’s return on investment.
The tool boosted our subscription rate and negated the need for additional personnel hiring for document management. Furthermore, it enhanced our document audit readiness.
